Senior Associate, Portfolio Administration

Full Time

Ben Franklin is seeking a highly organized, analytical, and collaborative professional to serve as Senior Associate, Portfolio Administration within Ben Franklin’s Finance Department. This role will support the Senior Director of Finance and Venture Funds in overseeing portfolio compliance, investment administration, reporting, and valuation support across Ben Franklin’s investment portfolio. This position offers significant exposure to venture capital and private investment operations, including portfolio monitoring, investment documentation, valuation support, compliance management, and cross-functional collaboration with finance and investment teams.

 

Essential Duties and Responsibilities:

Portfolio Monitoring and Management

  • Act as the Finance Department’s primary point of contact for portfolio companies regarding:
    • Investment compliance requirements
    • Reporting obligations
    • Workouts and modifications
    • Valuation support requests
    • General finance/accounting inquiries
  • Monitor portfolio company compliance with investment agreements and financing terms, including::
    • Tracking covenant and reporting requirements
    • Drafting and distribution of quarterly statements
    • Managing delinquency and default processes
    • Facilitate workouts with portfolio companies
    • Lead quarterly portfolio compliance review meetings with the investment team to review outstanding compliance issues and recommendations
  • Ensure all portfolio monitoring and management activities are properly documented, including drafting investment amendment contracts.
  • Review and analyze financial information received from portfolio companies and make recommendations with respect to portfolio management and investment valuations.
  • Manage and monitor underperforming investments. Make recommendations for action as needed.
  • Participate in the quarterly valuation of debt and equity investments.
  • Assist with assessment of potential transactions (conversions, payoffs, etc).

 

Portfolio Administration and Investment Operations

  • Support the preparation of recurring investment portfolio reports and organizational reporting deliverables, including monthly, quarterly, semiannual, and annual reporting packages.
  • Oversee the internal document closing processes; review investment contracts and other documents for completeness and accuracy in relation to term sheets and other source information.
  • Coordinate funding request and disbursement processes for portfolio companies.
  • Oversee administration of investment files to ensure all necessary documentation is Manage investment records and electronic filing systems to ensure complete and organized investment documentation.
  • Oversee Uniform Commercial Code (UCC) filing and tracking processes.
  • Maintain accurate investment and portfolio data within Salesforce and related portfolio management systems.
  • Develop and maintain portfolio dashboards and reporting tools to support organizational decision-making and compliance oversight.
  • Partner with investment professionals to facilitate efficient onboarding and transition processes for newly funded companies.

 

Other Duties:

  • Ensure compliance with Ben Franklin’s grant program with respect to investment activity.
  • Provide support for the investment operations of Ben Franklin’s venture funds.
  • Assist with gathering documentation and other information for annual audit and audits of various organizational programs.
  • Assist with preparing information for Quarterly, Semiannual, and Annual reports, as well as internal compliance reports, as required.
  • Assist with managing funding partner relationships and processes.
  • Research compliance requirements for new and existing investment programs; monitor compliance with program requirements.

 

Requirements:

  •  Bachelor’s degree in Finance, Accounting, Business Administration, Economics, or a related field.
  • Minimum of three years’ experience in:
    • Portfolio administration
    • Investment operations
    • Fund administration
    • Commercial lending
    • Venture capital
    • Private equity
    • Financial compliance
    • Corporate finance or related role
  • Strong interest or related experience in venture capital or early-stage investing. An understanding of early-stage debt and equity investing is preferred, including in the areas of valuations and analysis.

Excellent written and verbal communication skills, including the ability to draft routine business correspondences independently.

  • Strong proficiency in Microsoft Office applications (Word, Excel, Outlook, Office 365, Sharepoint); ability to navigate web-based systems and software.
  • Experience with databases and CRM systems, Salesforce preferred.
  • Familiarity with use of on-line communication modes, tools, and methods.
  • Ability to work independently and collaboratively to accomplish department and organization goals, with strong organizational skills and attention to detail.
  • Capable of managing multiple projects, setting priorities and meeting deadlines, while adjusting to changing priorities.
  • Self-motivated and energetic with excellent analytic skills.
  • Demonstrated ability to build and foster collaborative relationships; record of successful collaboration with others to achieve business objectives.
