Program Coordinator, Healthcare and Tech Investment Groups

Full Time, Hybrid

The Program Coordinator, Healthcare and Tech Investment Groups will provide day-to-day operational support for the Healthcare and Tech Investment Groups. The role will be responsible for coordination and execution of external review committee meetings (15-16/year, across both investment teams) and will be a first point of contact for addressing routine questions pertaining to Investment Group programs and processes. The individual will work cross-functionally with our Salesforce Customer Relationship Management (CRM) Manager to ensure accurate input data into Salesforce, and with our marketing team on planning and execution of investment team focused events. In addition, the individual will augment the investment teams at external events in Southeastern Pennsylvania, further functioning as an initial point of contact for companies seeking investment.

Essential Duties and Responsibilities (other duties may be assigned):

  • In conjunction with the Managing Directors, provide day-to-day operational management support for Ben Franklin’s investment teams.
  • Coordinate meetings of the investment teams’ external review committees, including management of the application process in Salesforce, ensuring that appropriate investment team members are apprised of dates and deadlines.
  • Prepare reports for the Investment Committee of Ben Franklin’s Board of Directors.
  • Organize and maintain departmental Salesforce and other database systems, maintaining records for key investment group contacts and keeping the data up to date and accurate.
  • Serve as internal project manager for the investment teams for ongoing process review and optimization work.
  • Coordinate with Ben Franklin’s marketing and communications department on investment team focused events.
  • Represent Ben at start-up, innovation, and entrepreneurship events through Southeastern PA.
  • Assist with initial screening of companies applying for investment opportunities from Ben Franklin.

 Education and Experience:

  • BS/BA or equivalent experience.
  • A minimum of 3-5 years of experience in a program coordinator position.
  • Industry experience in investment functions and not for profit entities preferred, but not required.

Skills and Expertise:

  • Highly detail-oriented, possessing excellent administrative and organizational skills.
  • Superior time management skills, with ability to prioritize work, manage multiple assignments with minimal supervision, set priorities, meet deadlines, and quickly adapt to change.
  • Ability to assume occasional new projects with minimal supervision.
  • Excellent interpersonal skills and ability to maintain the highest professional standards in all written and oral communications.
  • Strong proficiency in Microsoft Office applications (Word, Excel, Outlook, Teams, Office 365).
  • Experience with contract management software (such as Salesforce and DocuSign).
  • Ability to quickly learn new software platforms to ensure ongoing operational efficiency of the organization.
  • Ability to prioritize and manage the production of work so overall quality and quantity of work meets or exceeds Ben Franklin’s requirements and objectives.
  • Ability to independently draft routine business correspondence.
  • Flexible and adaptable to perform other duties as needed to ensure smooth overall operations of the office.
  • Knowledgeable about the Southeastern Pennsylvania innovation and entrepreneurial ecosystem is preferred, but not required.
